Streamline proposed a platform that did exactly that. The platform, now branded Ripple, manages an active database of 300,000 and currently runs six lotteries a year, along with a donation channel.
“It’s a phenomenal beast,” Gail says. “The workload streamline processes is massive and complicated. The lottery relies on mailers but our customers can respond in many different ways. For example, they can pay by cheque, direct debit, or credit card. Some send cash. Others make a donation. Each transaction is individual. And then there are card transactions that don’t clear, addresses that are out of date, you name it.
“You’re looking at something like 60,000 pieces of mail in the pipeline. We couldn’t resource that scale internally, certainly not with volunteers and temps.”
The way Gail looks at it, streamline isn’t just a vendor. “They’re a strategic partner,” she explains. “Streamline works with other suppliers like a mail house and our creative agency and it manages the entire life cycle from sending a lottery mailer to receiving the response, banking the funds and providing management reporting.
They manage our call centre as well. “They’re so integrated into what we do that streamline has work in progress meetings that include the other suppliers, with us running the meeting.” Ripple is a cloud service delivered online, releasing the foundation from the IT support headaches that are part and parcel of in-house technologies. Gail and her team still have 24-hour access to it, however, via a portal that routes customer escalations and displays management information such as the day’s banking reports.
The Ripple platform itself has evolved over time to meet the Heart Foundation’s changing needs. More development is planned. Next up: setting the stage for data analytics by porting information from Ripple into a data warehouse. That will let the foundation peer deeply into its database to, for example, more accurately manage customer retention.
